Catering Guidelines

  • Guidelines for Cultural Food
  • WP Dining Services – Aramark, is the only approved food service provider for the University.  All food must be purchased through WP Dining Services.  Whenever university departments and registered student organizations plan to serve food or beverages at events needing Authentic Cultural Foods the following step-by-step process MUST be adhered to ensure health and safety requirements are met. Please be advised that serving outside food and/or beverage(s), introduces additional levels of risk to the campus and the safety of individuals consuming the items being served.  WP Dining Services has the responsibility to ensure that all food safety practices are observed and to ensure that every food or beverage item served is clearly labeled with all ingredients.

    1. Reserve and receive confirmation of the space where your event will be hosted through the 25 Live reservation system.
    2. Meet with the University Catering Team to review your menu.  This is where we will discuss and confirm recipes to ensure the true authentic taste with your CASL/ Club Advisor present.
    3. Catering Team will meet with the Chef to confirm if menu can be executed.  In some cases, a tasting can be scheduled to ensure the authenticity of the food can be met.  (Please note tasting costs will be added to the final event invoice.  If event is postponed or canceled, these costs will be billed separately)
    4. In rare cases, if Aramark team cannot execute the authenticity of the cultural food, we will request a quote from a partnering local restaurant that specializes in the type of cuisine. (Additional costs, if any, will be added for the execution of this event labor, disposables, beverages etc.)

    It is WP Dining Services' responsibility to ensure that the partnering restaurant meets all the insurance requirements, it is compliant with all safety regulations and possesses the necessary licenses from local township such as the following.

    Copy of the restaurant’s/caterer’s current Health Department Certificate.

      1. Copy of the caterer’s Liability Insurance naming William Paterson University the State of New Jersey, and NJ Educational Facilities Authority as additional insureds for a minimum of $1,000,000 coverage.
      2. Copy of the caterer’s current Operator’s License indicating they are approved to operate in New Jersey; and are licensed to provide off-site catering services.

  • Potluck Social Events at WP
  • WP Dining Services – Aramark, is the only approved food service provider for the University.  We encourage members of the WP Community to purchase all food through WP Dining Services.

    Potluck Events - Events where homemade food is prepared off-campus, brought to campus, and then consumed among Faculty and/or Staff Members Only are restricted to a maximum of 25 individual participants. Potluck social food must not be distributed to the campus community or outside guests (those who are not members of the organization hosting the event).

    Homemade prepared food MUST adhere to the following Food Safety Requirements governed by the Wayne Department of Health:

    • Homemade prepared hot food MUST be brought up to an internal temperature of 165 degrees prior to serving and held in a chauffeur with a sterno(s).
    • Salads and Baked goods MUST be handled with serving utensils.

     Please be advised:

    • All potluck event requests must be presented to the Director of Dining Services for approval.
    • Campus departments that plan to serve homemade food on campus assume responsibility for introducing risk to individuals consuming food/beverages obtained under their direction. Campus departments are also responsible for ensuring products served have been properly cleaned, prepared, cooked, stored, served, and disposed of in accordance with health code and food safety guidelines.
    • Event hosts obtaining outside food further agree to abide by food safety practices.
    • Event hosts to provide all serving utensils including plates, napkins, and tablecloths. 
    • Event hosts are also responsible for disposal of all refuse.
